Photo Booth Hire in the UK — B2B Lead Terminals for Trade Shows and Corporate Events

Your stand at ExCeL London is booked and the campaign is signed off. Two questions decide whether it pays back: how do the leads reach your CRM, and who clears the kit through customs? Since Brexit the UK is a third country, so hire equipment coming from the continent needs a carnet and a plan. Most suppliers send a camera in a plastic shell and a spreadsheet a week later. UpReach designs its own system line and has written its photo-booth software in-house since 2016. We configure hardware and software to your brand before the terminal leaves Berlin, and our forwarder handles the ATA Carnet — so the system arrives on your stand, not at a border.

More than 200 B2B brands from across Europe trust UpReach — from agencies to enterprise corporations.

Why UK marketing teams hire from UpReach

Your interface, never our logo

The touchscreen flow, the email your visitor receives and the terminal wrap carry your corporate design. Nothing on the system says UpReach. We build the screens before dispatch, so your stand team never opens a settings menu in Hall N9 at ExCeL.

Current-generation AI inside our own software

Face swap, AI background removal without a green screen, 2D-to-3D depth and GlamBot slow motion run inside our own platform. We integrate the leading image models and keep them current, so your campaign is never tied to an ageing engine. AI modules are booked modularly on a credit basis.

Our own system line, built to specification

UpReach designs its hardware to its own specification and has it manufactured to CE and ISO 9001 standard. Steel housings, industrial-brightness displays, professional lighting — dimensioned for ten-hour show days. That also matters for UK venue electrical checks, which consumer gear often fails.

What usually goes wrong with UK hire suppliers

What usually goes wrong with UK hire suppliers
  • Kit ships without an ATA Carnet and waits at customs while the hall is already building.
  • Consumer tablets in plastic housings overheat under show lighting and constant footfall.
  • Hall Wi-Fi at ExCeL or the NEC drops at peak time and leads disappear.
  • The supplier logo sits on every print and every email your visitors receive.
  • Consent is collected on paper — the first thing your DPO will flag under UK GDPR.
How UpReach handles it
  • Customs documents and the ATA Carnet coordinated with our forwarder before dispatch.
  • Industrial hardware (CE, ISO 9001) designed for ten-hour continuous operation.
  • Offline buffering: capture and instant print keep running, leads sync when the line returns.
  • Full white-label — your brand on the housing, on the screens and in the emails.
  • Direct API push into Salesforce, HubSpot or Marketo, with a consent timestamp on every record.

Where UK teams put our terminals to work

Trade shows at ExCeL London and Olympia

London carries the densest B2B calendar in the country: IFSEC and The Meetings Show at ExCeL, London Tech Week and Spirit of Christmas at Olympia, plus the Business Design Centre in Islington for mid-size formats. Floor space in London is among the most expensive in Europe, so every square metre has to produce contacts. The UpReach terminal runs in kiosk mode as an autonomous lead station: the visitor takes an AI portrait in your brand world, releases their details by opt-in, and the record reaches your CRM before they leave the aisle. Your sales team keeps talking instead of scanning badges into a spreadsheet.

The NEC Birmingham and Midlands manufacturing shows

The NEC hosts Spring Fair, Autosport International and a long list of industrial and consumer-goods shows, with an audience that travels from across the Midlands supply chain. Stand teams there are usually small and technical, not marketing-heavy, so the system has to work without a briefing. Ours ships pre-configured and starts in kiosk mode on power-up. For engineering and automotive brands the 2D-to-3D module places a visitor next to a product render, which turns a static display into a reason to stop and leave contact details.

Corporate events and roadshows in Manchester, Glasgow and the City

Beyond the two big halls, Manchester Central, the SEC in Glasgow and City of London venues carry conferences, client days and internal town halls. Financial services and professional-services brands book these formats with tight compliance rules, so the opt-in wording matters more than the effect. For multi-city roadshows the cloud dashboard controls every terminal centrally: one campaign push updates the screens in London, Manchester and Glasgow, and the leads arrive in one export tagged by location. No technician travels between cities.

Key trade shows and event venues in the UK

ExCeL London is the largest exhibition site in the country and hosts IFSEC, The Meetings Show and a broad corporate-conference calendar. Olympia London runs London Tech Week and design-led formats, while the Business Design Centre serves smaller B2B shows. The NEC Birmingham carries Spring Fair and Autosport International plus much of the UK industrial calendar. In the north and in Scotland, Manchester Central and the SEC Glasgow are the standard congress venues; Farnborough International runs the airshow and adjacent aerospace formats. For corporate events, London venues such as the QEII Centre, Tobacco Dock and County Hall are regular choices for client days and product launches. These are examples rather than a limit: the same setup runs at any venue in the country, from a national exhibition centre to a single meeting room.

A setup call

In a first call we map your use case: which hardware, which AI modules, which branding, which CRM. We configure all of it in advance — you receive a system that is ready to run.

02

Delivery with the paperwork done

The terminal travels in a flight case by freight forwarder, with the ATA Carnet and customs documents prepared for the UK border. Setup on site takes under 15 minutes.

03

The data payoff

After the show you export every lead as a clean CSV or use the direct CRM push. The dashboard shows interactions, lead conversion rate and earned media value.

What does it cost to hire a photo booth in the UK?

UK hire is quoted per project rather than from a fixed list, because four factors move the price: rental period, hardware class, the AI modules you book and logistics including customs. As a reference, rental starts at €590 net for the Compact, €890 net for the Pro V1 and €1,990 net for the Mirror Pro, all excl. VAT and quoted in euros. The one line item that does not exist inside the EU is customs: since Brexit the UK is a third country, so the equipment travels under an ATA Carnet as temporary admission. Handled correctly there is no import duty and no import VAT, because the system returns to the EU after the show. We recommend three to four weeks lead time so the carnet, your corporate-identity configuration and the CRM connection are all in place before dispatch.

Common questions about hiring in the UK

How do you deliver to the UK and who handles customs?

We handle it. Since Brexit the UK is a third country, so hire equipment from the EU needs customs treatment rather than a simple delivery note. Our forwarder prepares an ATA Carnet, which admits the terminal temporarily and avoids import duty and import VAT as long as the system returns to the EU after the event. The flight case travels by road through the Channel Tunnel or the Dover crossing, with air freight as the option for short-notice bookings. You do not need your own EORI number for a hire, because the equipment stays our property throughout. Recommended lead time is three to four weeks: that covers the carnet, the branding configuration and the CRM setup. For shows at ExCeL and the NEC we also book the venue delivery slot in advance, because both sites control access tightly during build-up.

Does the equipment meet UK venue and electrical requirements?

Yes. The systems run on 230 V and ship with BS 1363 type G leads for the UK, so no adapters are needed on stand. Most UK venues and organisers ask for electrical safety documentation before you switch anything on: we supply current test records for the equipment, plus the technical data your stand contractor needs for the electrical order. If your organiser requires a risk assessment and method statement, we provide the equipment section for it. Power demand is modest — a single 13 A socket runs a terminal including printer. Physically the systems need only a few square metres of floor, which matters at ExCeL and Olympia where stand space is charged at premium rates. If your venue has unusual rigging, access or floor-loading rules, we clarify them with the organiser before dispatch.

Do I need a technician on site?

No. UpReach terminals are plug-and-play: setup takes under 15 minutes and needs no IT knowledge. The system arrives pre-configured, so your stand crew or agency staff unpack the flight case, position the terminal and connect the power. The kiosk software starts automatically with your campaign already loaded — branding, AI modules and data form included. Nothing has to be installed or configured at the venue. During the show, support is available by phone and through cloud access, and we can push changes to a running terminal without anyone travelling. If you would rather have an on-site build, a technician service is bookable as an option. It is worth considering for large halls at ExCeL or the NEC, where delivery windows, stand contractors and access passes make logistics more complex than at a hotel or conference venue.

How does UK GDPR work for visitors at a British show?

The consent flow runs on the touchscreen and separates purposes: contact details, image rights and marketing consent are individual checkboxes, none pre-ticked, so there is no bundling problem under UK GDPR and the Data Protection Act 2018. You decide which fields are captured and how long the data is retained. Every lead carries a cryptographically secured consent timestamp, which is exactly what your legal team needs if the ICO ever asks. Transfers between the UK and the EU are covered by the adequacy decision, so a UK show feeding an EU-hosted CRM is not a special case. On request we provide a data processing agreement and technical documentation of the data flows. AI image processing runs GDPR-compliantly; for particularly sensitive deployments an edge/offline mode is bookable as an option.

Which UK venues do you supply?

UpReach delivers across the United Kingdom, with the highest activity around ExCeL London, Olympia and the NEC Birmingham. We deliver equally to the Business Design Centre in London, Manchester Central, the SEC Glasgow and Farnborough International, plus corporate venues such as the QEII Centre and Tobacco Dock for client days and launches. For any venue, we clarify delivery access, power provision and build-up windows with the organiser in advance, so nothing is discovered on the morning of the show. Locations outside the main circuit are not a problem: the logistics run to any UK address, and the site requirement is the same everywhere — a 13 A socket and a few square metres of floor. Scotland, Wales and Northern Ireland are covered on the same terms as England.

What is included in the hire?

The full-service hire package covers the hardware with flight-case transport, customs handling for the UK, the complete software platform, the AI modules agreed for your campaign, cloud CMS access, the base branding configuration and remote support during the event. The corporate-identity setup happens remotely before delivery, so the system arrives already carrying your design instead of being adjusted on stand. GDPR forms and lead export are part of the package, as is the CRM connection to Salesforce, HubSpot or Marketo. Quoted separately by effort: bespoke AI scenarios such as a new industry-specific image world, and physical wrapping of the housing in your brand design. AI modules are credit-based and booked modularly with us, so you pay for the volume your show actually produces rather than a flat fee you may not use.

Does hiring or buying make more sense for a UK team?

It depends on how many events you run and where they sit. For one or two UK shows a year, hire is the sensible route: no capital outlay, no storage, no maintenance, and the customs handling comes with the booking. From roughly four to five events a year, purchase starts to pay back against repeated hires — Compact from €4,990 net, Pro V1 from €6,990 net, all excl. VAT. Buying also changes the customs picture, because a system you own and keep in the UK is imported once rather than carneted for every show. Purchase includes the UpReach software platform for twelve months; after that it continues on an annual contract. AI modules stay credit-based and modular in both models. Leasing is a third option if predictable monthly cost suits your budget better.
